Managing time is one of the most challenging tasks at times. What’s more challenging is managing unpredictable events. Let us look into those few ways to manage time efficiently in all scenarios.

There are few people who can manage more than one task at a time. It is because managing two or more tasks at a time is the result of proper time management and the vision of the individual towards the tasks to be done. We have seen many fathers who have been into more than one business or job. They all have good time management skills. Without time management skills, these cannot be handled.

In this scenario, there is a bigger challenge for these people. It is true that these people plan ahead about what needs to be done and the order in which they have to be done. But the situations are not the same and simple at all times. There may come a scene where managing these tasks turns complicated due to unpredictable events or situations.

For instance, a guy working for a school as a lecturer decides to work as an accountant in an organization in the evenings for extra income. If the school management orders him to stay back in the school in the evening due to some reason, that the other work he used to go would definitely hamper. Not only in the case of multiple jobs, but similar problems may also arise with an individual when an emergency arises at the time he (she) was about to do something.

These situations turn quite unpredictable sometimes despite proper planning of managing these tasks. In this scenario, the question that many people have in their minds is: how to manage these situations? Is there ant way or tips that can be used to manage these situations?

The answer is yes. We have certain tips and ways to overcome these situations like a boss, Let us look into these probable ways in the following lines.

Steps/ways to manage Unpredictable situations:

1.      Learn to say No

The most common factor that hampers our flow of work is the favors or the tasks that are assigned to us in between our work. These tasks may be insisted by colleagues as a favor or maybe by the superior as you are good at it. In many such cases, we feel embraced to reject the task assigned. This is the reason sometimes why our work gets delayed and we lose interest in the work that we are doing.  In situations where we are not ready to do other tasks, or we don’t have time to offer at the time being, we should never step for saying NO to the work. It is because it is the work that we are doing that is important to us. Moreover, there is a chance that our work gets hampered too. 

Saying NO to situations is an art that many people fail to master. But it proves magical in situations when we are running out of time and efficiency. It is always a good trait for an individual to have an attitude to help others when required, but this should never be done at the cost of his (her) personal work (until it seemed that important).

2.      Strive to think Ahead by prioritizing tasks and reprioritizing when required.

People who manage more than one task at a time basically have good time management skills and an attitude of thinking ahead. This attitude should be learned by all those people who feel they lack this skill.

Apart from his, the other important skill to be learned is to prioritize the tasks that we need to do. In many situations, we may have to do more than one task. Reprioritizing may become inevitable in many situations. Especially when we come across unpredictable tasks all of a sudden, it is important to reprioritize the task list that we already have to understand and perform the tasks without any confusion.

3.      Always have Plan B at least

In cases where we have to reprioritize our tasks with the arrival of unpredicted tasks, our plan of completing the present task hampers. In these scenarios, it is important the plan B works. Plan B is nothing but an alternative plan that we had decided in the past for performing this task.

For instance, I have to submit an assignment on Monday, and I planned to finish that by Saturday. I can have a plan B of finishing it by Sunday if the plan gets hampered. All of sudden if I had to go out of the station on Saturday, I can still finish the task on Sunday as per my plan B.

Thus having plan B for every plan can act as a boon when any unpredictable event occurs.

4.      Perfection is sometimes not the need of the day

No matter what the industry would be, the experience is the need of the day. the reason behind this is the need for efficiency and perfection in the workplace. But talking in the general sense not all tasks need the same perfection of tasks. Thus we can finish the work as per the requirement when we lack time due to unpredictable events.

For instance, I have to submit a tabulation of all the transactions to the manager at the end of the day as an accountant. I have a habit of mentioning each and every detail of the transaction in the tabulation to show off my expertise in work. One day, I had to go home early (unpredictable event happens), what I can do is I can just submit a simple table with only the required details which would take me a lesser time to do.

5.      Believe in your resources

We all have some of the other resources. At times we feel that the resources that we have are not enough. And this may turn up to a sudden and unpredictable problem at times. This is mainly due to tiredness and loss of patience in work after long hectic hours. The only solution in these scenarios is to sit in peace and calm mind and believe in the resources we have. When we feel free and think in various ways about how to make use of resources there is every hence that we may find the solution.

Here are some other small tips that may add up:

1.      Reduce time wasters:

Try to find out those tasks or subtasks that act as time-wasters and hamper the flow of the work. Identifying and avoiding them can lead to better efficiency at times.

2.      Divide goals into sub-goals

Dividing bigger goals into a number of small sub-goals can make the same task simpler. Moreover finishing one sub-goal at a time wouldn’t be complex and is least prone to hamper by unpredictable events.

Unpredictable events are common these days are inevitable. Managing them too makes real sense as a whole. Jus t complaining about these events and showing this as a reason for the failure should not be the goal; rather managing these events efficiently makes a persona gem of a kind.
